TERMS AND CONDITIONS

 

§ 1.

Definitions and terms contained in the Regulations

 

  1. Whenever the "Congress" refers to the Fourth International Congress of St. Hildegard organized in Poland.

  2. Whenever in the Regulations it is referred to as "Participant" means participant of the 4th International Congress of Sts. Hildegard in Poland.

  3. Whenever the terms of reference refer to "fees" it means registration fees in Congress.

  4. Whenever in the Regulation the "Organizer" refers to the organizers of the Congress: St. Hildegard in Poland, Polish Center of St. Hildegard, Hildegarda ltd and the Benedictine Abbey in Tyniec.

 

§ 2.

General provisions

 

2.1. 4th International Congress of St. Hildegard will be held from 6 to 8 October 2017 in Poland (Kraków, Benedictine Abbey in Tyniec).

2.2. The organizers of the Congress are:

  • St. Hildegard Centre in Poland community,

  • Polish Centre St. Hildegard,

  • Hildegarda Ltd.

  • Benedictine Abbey in Tyniec.

2.3. Participants in the Congress are: members of the Community, lecturers, invited guests, business executives, representatives of legal entities, publishers and all interested in the person and work of St. Hildegard.

2.4. The participant who presents the presentation delivers a lecture or a read:

  • Person taking part in the Congress session with his own presentation;

  • The person qualified to appear in the Congress by the Organizer, who will be informed by electronic means in due time.

2.5. The Congress will include lectures, workshops, lectures, panel discussions. Exhibition stands will be also available.

2.6. The number of exhibition stands are limited.

2.7. The official web site of the Congress is at http://hildegarda.pl/kongres

2.8. The provisions of these Regulations apply to all participants of the Congress.

 

§ 3.

Participation rules

3.1. A condition for participation in the Congress is the fulfillment, by 31 August 2017, of two conditions: a declaration of participation in the Congress and the payment of the amount provided by the Organizers.

3.2. A formal declaration of participation in the Congress may be made by:

3.1.2 The submission of the registration form with the declaration of participation in the Congress by mail, with the return receipt, to the correspondence address:

3.1.3. Declare the attendance in the Congress in the Organizer's Office, by telephone or in person by filling in the application form.

3.2. The Organizer's fee for participation in Congress is:

  • 85 € (incl. tax) for members of the Community of St. Hildegard in Poland (limited number of places)

  • 110 € (incl. tax) for other participants (limited places).

3.2.1. If the payment is made of participation by 20 July 2017 includes a discount on the amounts referred to 3.2. of these regulations the charges of discount are:

  • 70 € (incl. tax) for members of the Community of St. Hildegard in Poland

  • 90 € (incl. tax) for the rest of participants.

3.2.2. Exempted from the fee is the participant who presents the presentation, lectures, reads and invited guests. In the scope of presentations and lectures, the organizer reserves the right to make personal and thematic arrangements with the choice. The list of invited guests is establish and prepared by the organizer.

3.2.3. Registration fee in the appropriate amount should be sent to the organizer's account with the note HILDEGARD CONGRESS 2017:

Providing the following information:

  • in the case of a fee from an individual: name and address;

  • in the case of a fee from a person running a business: name, address, NIP;

  • for legal entities: full name, address, KRS number or NIP and the name of the person for whom the fee is paid.

3.2.4. The fee should be paid within the deadline of 31 August 2017.

3.2.5. On request the organizer will issue a VAT invoice on each occasion.

3.2.6. The declaration of participation in the Congress (Appendix 1 to the Terms and conditions) includes the specified benefits to the participants, whose value was included in the registration fee.

3.2.7. The costs of attending the Congress beyond the benefits listed

 In paragraph 3.2.6. The participant is responsible for himself.

3.3. The deadline for submitting entries in the Congress via the Internet, traditional mail and personal registration is 31 August 2017. The organizer reserves the right to extend the registration deadline.

§ 4.

Promotion and Sponsor status

 

4.1. It is forbidden to conduct marketing activities of its own or third parties in any form, notably through the distribution of advertising materials, except as provided for in paragraph 4.2. and 4.4.

4.2. During the Congress, the organizer gives the participants the opportunity to promote their own activities, after prior consent of the Organizer, in the following paid forms:

  • Class A - placing the logo online advertising and information materials for the amount of 230 € + tax

  • Class B - as in class A plus the possibility of setting up an advertising banner previously approved by the Organizer up to 2 square meter, for a total of 350 € + tax

  • Class C - as in class B plus the possibility to use the exhibition space (stand with products), for a total of 470 € + tax. The organizer warns that the number of exhibition venues is limited. Detailed information: kongres@hildegarda.pl

4.3. The amounts can be sent along with the registration fee to your account:

Including the title: CONGRESS 2017 - Class A, B or C and the following data:

  • for individual payment: name and address;

  • in case of business activity: name, address, NIP;

  • In the event of a business activity with legal entity: full name, address, tax identification number and name of the person who makes the payment.

 

4.3.1. The above payment should be paid within the deadline of 30 June 2017.

4.4. The possibility of using the status of the sponsor is made individually after the organizer wishes to use this status in writing, to set details and to pay the amount to be sent to the organizer's account:

4.4.1. The amount can be sent along with the registration fee, while giving the title of CONGRESS 2017 - Sponsor and the following data:

  • for individual payment: name and address;

  • in case of business activity: name, address, NIP;

  • In the event of a business activity with legal entity: full name, address, tax identification number and name of the person who makes the payment.

4.4.2. The above claim should be paid within the deadline of 31 August 2017.

4.5. Unpaid fees and the amounts declared by the participants will not be settled by the organizer, nor will the sponsor's status be waived, without any liability for any damages.

 

§ 5.

Resignation from participation

5.1. A participant may resign from the attendance in the Congress. Cancellations require a written form by 31 July 2017.

5.2. The participant's declaration of resignation from the Congress is as follows:

  • The organizer, upon receipt from the participant, of a declaration of resignation from Congress by 31 July 2017, shall refund the participants a registration fee and all other fees resulting from the provisions of these regulations to the bank account indicated by participant in the declaration of resignation from the Congress.

  • The organizer, upon receipt of a participant's declaration of resignation in the Congress after 31 July 2017, has the right to retain the registration fee and other amounts resulting from the provisions of these regulations.

 

§ 6.

Organizer and Participant Liability

6.1. In the event that the Congress does not take place at the organizer's fault, the organizer will immediately return the full amount of the registration fee and fees referred to in paragraph. 4.2 and 4.4 of these regulations to the bank account from which the payment was made.

6.2. The organizer is not responsible for the participant's inability to participate in Congress due to force majeure or due to the participant's fault.

6.3. The organizer of the Congress shall not be held responsible for any items unaccounted for by the participant and consequently lost, stolen, and destroyed.

6.4. The participant shall bear full financial responsibility for any damage he or she has made to the premises of the Congress as well as the accommodation.

 

§ 7.

Consensus and statement

 

7.1. The participant of the Congress agrees for the free of charge: consolidating, disseminating and using the organizer's image and voice during the Congress in the reporting material documenting the course of the Congress.

7.1.2. The work created using the image and voice can be used and distributed by the organizer in accordance with art. 50 of the copyright act and other regulations, in particular in reporting materials and the media. This also includes public playback and is not territory limited.

7.2. A participant in the Congress declares that the data and information contained in the application form are true.

7.3. Registration of participation in the Congress is the same as accepting the provisions of these regulations.

 

§ 8.

Final Provisions

8.1. The organizer shall determine the program of the Congress and has the right to make changes thereon during the Congress, including changes in the speakers and the order of their occurrences, time distribution.

8.2. For the purposes of the Congress applies the personal data protection Act (Journal of Laws of 2014, item 1182)

8.3. Any disputes that may arise out of participation in the Congress will first be resolved amicably.

8.4. Disputes not governed by these regulations are governed by generally applicable laws.

8.5. The regulations come into force on the day of its publication on the Congress website.

8.6. The organizer has the right to change the terms and conditions. Any changes to the rules are made by means of an annex. The amendments come into force upon the publication of the annex to the rules of procedure on the Congress website.
